Maintaining a secure digital environment for our schools is a collective effort. To ensure our security team can effectively investigate and block malicious content, it is essential that all suspicious messages are reported using the established district procedure.
When reporting phishing or spam, please forward the message as an attachment rather than using the standard "Forward" button. Standard forwarding strips away the email headers—the technical data required to trace the sender and implement district-wide blocks. Forwarding as an attachment preserves this "digital fingerprint," allowing our team to take immediate action.
How to Forward an Email as an Attachment
Please follow these steps in Gmail to ensure the security team receives the necessary data:
Select the Email: In your Gmail inbox, click the checkbox to the left of the suspicious message. You can select multiple emails if you need to report several at once.
Open the Options Menu: Locate the toolbar above your inbox and click the three vertical dots (the "More" icon).
Choose the Attachment Option: Select Forward as attachment from the dropdown menu.
Prepare the Report: A new compose window will open with the suspicious email(s) included as
.emlattachments.Recipient:
spam@kippnyc.orgSubject: Suspicious Email Report
Send: Click Send to deliver the report to our security analysts.
Why This Procedure is Required
A standard forward only sends the text and images of an email. By forwarding the message as an attachment, you provide the hidden routing information that identifies the true source of the message. This is the most effective way to protect your colleagues and student data from recurring threats.
Questions or Support
If you are unsure whether an email is legitimate, or if you encounter any technical issues while following these steps, please open a support ticket. Our team is available to help you verify suspicious content and ensure your workstation remains secure.
