This guide outlines the required steps for KIPP NYC staff members planning to acquire technology through DonorsChoose or other external grant funding. Following these steps ensures that your new equipment is compatible with our network, protected by our filters, and eligible for long-term technical support.
1. Identify Your Technology Needs
Before starting your grant application, determine if your request falls under the "Technology" umbrella. The Tech Team must be involved if your project includes:
Computing Devices: Chromebooks, Laptops, or Tablets.
Audio/Visual: Projectors, Interactive Displays, or Document Cameras.
Specialized Hardware: 3D Printers, Robotics kits, or VR headsets.
Networked Items: Any device that requires a connection to school Wi-Fi.
2. Contact the Tech Team First
Do not post your project until you have consulted with us. Our team needs to ensure the specific models available through grant vendors (like Amazon Business or Best Buy Education) can be managed by our systems.
Action: Email TechSupport@kippnyc.org with the subject line:
Grant Request: [Your School Name] - [Project Name].Details to Include: The specific items you are looking to request and the grant platform you are using.
3. The Procurement & Approval Phase
Once we receive your email, a member of the Tech Team will partner with you to:
Verify Specs: We will confirm the hardware meets our minimum performance standards.
Confirm Management Licenses: For Chromebooks and iPads, we must ensure the proper management licenses (e.g., Chrome Education Upgrade) are included in the cost so the device can be "enrolled" in the KIPP NYC domain.
Final Approval: We will give you the "green light" to post your project or submit your application.
4. Receiving and Enrolling Your Equipment
When your project is funded and the items arrive at your school:
Do Not Distributed Yet: Keep the devices in their packaging.
Submit a Setup Ticket: Notify Tech Support that the items have arrived.
Inventory & Enrollment: A technician will visit your site to tag the assets for inventory, connect them to the secure "KIPP-Internal" network, and install necessary security software.
Important Policy Reminders
Support Eligibility Any technology procured outside of this collaborative process cannot be supported by the Tech Team. This means we cannot connect it to the school Wi-Fi, repair it if it breaks, or install school-licensed software.
Ownership All items funded through DonorsChoose or other grants remain the property of KIPP NYC and must stay at the school site if a staff member transitions to a different location.
