We understand how frustrating it can be when you are trying to send important information and receive an error message stating, "Your message can't be sent because it may contain sensitive content."
This error occurs because our security systems are designed to automatically block emails that appear to contain sensitive data—such as credit card numbers or social security numbers—to protect your identity and the district's information.
If you are certain that your attachments are legitimate and need to be sent, you can bypass this filter by placing your documents inside a password-protected archive. This "locks" the files, preventing our email scanners from reading the contents.
You can accomplish this easily using 7-Zip, an application already installed on all district Windows laptops.
Step 1: Organize Your Files
Before we begin, identify the files or folders you need to send.
Pro Tip: I find it is much easier to move all the files you need to archive into one "central" folder first. This keeps everything organized and makes the next steps much faster.
If you have multiple files in different locations, you can select them by holding down the Ctrl key on your keyboard while clicking each file.
Step 2: Initiate the Archiving Process
Once your files are selected, you will use the 7-Zip menu to start the process:
Right-click on your selected files or the central folder.
In the menu that appears, click on 'More Options, and hover your mouse over 7-Zip.
From the 7-Zip submenu, select Add to archive...
Step 3: Configure Archive Settings
A dialog box will appear. This is where you will set the password for your files. Please configure the settings as follows:
Archive: This shows the name of your new file. You can leave it as is or change it to something like MySecretDocuments.zip.
Archive format: Ensure this is set to zip in the dropdown menu.
Enter password: Type your desired password here.
Re-enter password: Type the same password again to confirm.
Encryption method: The default selection (AES-256) is the industry standard for security—you can leave this as is.
Show Password: (Optional) You can check this box if you want to see what you are typing to ensure accuracy. Just be mindful of your surroundings before doing so.
Step 4: Create the Archive
Once you have configured the settings and confirmed your password, click OK.
7-Zip will begin creating the archive. A progress window will appear, and once it finishes, you will find your new .zip file in the same folder where your original documents are located. You can now attach this new .zip file to your email and send it safely.
